Race Regulations 2024 XTERRA TRAIL

"THE NIGHT OF THE TRAILS" (ULTRA 100 km - 75 km - 50 km - 25 km)

XTERRA "TAMARII TRAIL" 1 km

Events organized by the VSOP XO Association from May 24th to 26th, 2024

Article 1: The Event

The 1st edition of the XTERRA "THE NIGHT OF THE TRAILS" is part of the major sporting events in French Polynesia. Organized on May 24th, 25th, and 26th, 2024, in Moorea by the VSOP – XO association, it is under the auspices of the French Polynesia Athletics Federation (FAPF), under the high patronage of the Municipality of Moorea-Maiao, the Ministry of Youth and Sports, and in partnership with its private sponsors.

Article 2: Race Committee

It is composed of the competition director, the president of the VSOP XO association or their representative, the race referee, and any person chosen for their skills by the competition director. The race committee is authorized to make all decisions for the smooth running of the races and to rule within a timeframe compatible with the event's imperatives on any claims made during the race. Decisions are final.

Article 3: The Races

  • The XTERRA TAHITI "THE NIGHT OF THE TRAILS": ULTRA TRAIL OF 100 KM or 75 KM or 50 KM or 25 KM

  • The XTERRA TAHITI "TAMARII TRAIL" 1KM

  • The XTERRA TAHITI "FUN TRAIL" 3KM

  • The XTERRA TAHITI "ITI TRAIL" 12KM The distances defined in this regulation are indicative and may be subject to change at any time.

Article 4: Dates and Schedule

Departure times are subject to change.

Friday, May 24th, 2024: The departure of the XTERRA TAHITI "THE NIGHT OF THE TRAILS" will take place on Moorea Island at 8:00 p.m. from Tahiamanu Beach at P.K.15, with an arrival at the same beach. Cut Off on Saturday, May 25th at 10:00 p.m. Saturday,

May 25th: The departure of the XTERRA TAHITI "TAMARII TRAIL" 1KM will be at 5:00 p.m. and the "FUN TRI" 3KM at 5:30 p.m. from Tahiamanu Beach at P.K.15 for an arrival at the same beach.

Sunday, May 26th, 2024: The departure of the XTERRA TAHITI "ITI TRAIL" 12KM will be at 8:30 a.m. from the Opunohu caldera at P.K.18 for an arrival at Tahiamanu Beach.

Article 5: Respect of the Courses

The marking will be ensured with direction signs (reusable) and biodegradable ribbons. Volunteer marshals will be present at points considered problematic. Taking a shortcut and/or cutting a trail lace or trajectory is not allowed and may result in disqualification. A runner must stay on the designated trails that are marked and/or specified as a course. It is the responsibility of the runner to know the designated course. The absence of marking on the course is not an excuse for taking a shortcut. Manual and electronic checkpoints (using the chip located in the runner's bib) are set up at strategic checkpoints to ensure that the runner has completed the entire course. Any failure to check in will result in the runner's disqualification. A thorough check will be carried out before the results are validated. Any violation of the regulations as well as any unsportsmanlike behavior observed by the race director or one of the human controls results in disqualification (definitive withdrawal from the race). See Article 9 - Faults.

Article 6: Overtaking

Runners being overtaken must give way to the runners overtaking them. Runners must announce their intention to overtake verbally. It is the responsibility of the faster runner to overtake safely. Slower runners must yield to the passing runner upon first request, moving to the right when possible. In the event that two runners try to take the lead, the runners do not have to yield their positions to the other runner. However, a runner cannot interfere by blocking passage or otherwise impeding another runner's progress.

Article 7: Refreshments "THE NIGHT OF THE TRAILS" Event

  • Refreshment points are set up every 5 km.

  • All supplies must be removed from the designated refreshment areas.

  • A basic first aid kit will be provided at all aid stations and at the start/finish line. "TAMARII TRAIL" 1KM

  • No supplies. "FUN TRAIL" 3KM

  • No supplies. "ITI TRAIL" 12KM

  • No supplies.

Article 8: Time Limits and Monitoring

The "THE NIGHT OF THE TRAILS" XTERRA TAHITI event will be timed from start to finish using an electronic timing system (chip in the bib) and manual checkpoints. The total time will include all stops between the start and finish line. Time limits for each event are as follows:

  • ULTRA 100KM: 26 hours maximum

  • ULTRA 75KM: 24 hours maximum

  • ULTRA 50KM: 18 hours maximum

  • ULTRA 25KM: 13 hours maximum

  • "ITI TRAIL" 12KM: 6 hours maximum

  • "FUN TRAIL" 3KM: 1 hour maximum

  • "TAMARII TRAIL" 1KM: 30 minutes maximum

Participants who exceed the time limits set for their race will be automatically withdrawn from the competition. Their bib will be withdrawn, and they will be taken back to the arrival site. A vehicle provided by the organization will ensure the repatriation of the runners, and their luggage will be given back to them at the arrival site.

Article 9: Penalties

Any participant failing to comply with these rules may be subject to penalties, ranging from warnings to disqualification, depending on the severity of the offense. Penalties are decided by the race committee.

Article 10: Assistance and Withdrawal

A runner who abandons the race must inform a race official (volunteer or race director). The runner's bib must be returned to the race official. If the runner needs to be evacuated, the runner must contact a race official to arrange for evacuation.

Article 11: Acceptance of Regulations

Each participant, by registering, agrees to comply with and accept the rules of the event. Failure to comply with the regulations may result in disqualification.

Article 12: Insurance

Each participant must have personal liability insurance. The organizer is covered by civil liability insurance.

Article 13: Image Rights

By registering, each participant authorizes the organization and its partners to use any images or videos of the event in which they may appear for promotional purposes.

Article 14: Data Protection

In accordance with the "Data Protection Act," each participant has the right to access, rectify, and delete information concerning them. This right can be exercised with the organizer.

Article 15 – Registration Conditions – Documentation

The races are open to everyone, licensed and non-licensed in athletics:

  • For "LA NUIT DES TRAILS," starting from the Espoir category: athletes born in 2004 and earlier, making them at least 20 years old in the current year.

  • For the "ITI TRAIL" 12 km: starting from the Cadet category: athletes born in 2008 and earlier, making them at least 16 years old in the current year.

  • For the "FUN TRAIL" 3 km: starting from the Benjamin category: athletes born in 2012 (at least 12 years old in the current year). Walkers and individuals classified as "sick" and part of APURAD, APAC, or war injured (Armed Forces) are also eligible to register.

  • For the "TAMARII TRAIL" 1 km: only the Poussin category is permitted: athletes born in 2013 and 2014 (11 and 10 years old respectively) with the option to be accompanied by their parents (who must also be registered).

Licensed Athletes: Athletes licensed in athletics and triathlon must provide their FFA (French Athletics Federation), FAPF (French Polynesian Athletics Federation), or FTTRI (Tahitian Triathlon Federation) license number or FFTRI (French Triathlon Federation) license number when registering on the website www.fenuamoove.com.

Non-Licensed Athletes: For non-licensed athletes, a medical certificate stating no medical contra-indication to competitive athletics or competitive running is mandatory. It must be dated within one year of "LA NUIT DES TRAILS" on May 24, 25, and 26, 2024, and must be provided on the registration website www.fenuamoove.com (photocopies are accepted). No registration will be accepted or processed without the medical certificate or FAPF/FFA/FTTRI/FFTRI license number. Licenses from other federations or sports clubs (Football, Va’a, Swimming, etc.) are not accepted.

Foreign Athletes (non-French): Foreign athletes without the aforementioned licenses (FFA, FFTRI, FAPF, and FTTRI) must provide a medical certificate stating no medical contra-indication to competitive athletics or competitive running and obtain a daily FAPF license. The medical certificate must be written in English or translated into French, dated within one year of the race date, and must be provided on the registration website www.fenuamoove.com (photocopies will be accepted).

Article 16 - Registration Procedure

Online Registration Center: Athletes register online via the website www.xterratahiti.com or www.fenuamoove.com. Athletes fill out their online registration form and attach the necessary documentation (see Article 12) for validation of their registration. For non-licensed athletes, a daily insurance fee of 500 F will be required in addition to the registration fee.

Late Registration Fee: The registration deadline is May 12, 2024. A surcharge of 10,000 CFP will be applied for late registrations. No registrations will be accepted on the day of the race.

Article 17 – Bibs – Race Bag - Transfer

It is explicitly stated that runners participate in the competition at their own risk. The transfer of the bib is strictly prohibited. This transfer releases the organization from any responsibility in case of accident suffered or caused by this third party during the event. In the event of an accident, both the transferor and the recipient of the bib may potentially be held liable. The agent responsible for managing registrations on behalf of a group is required to inform participants of the race regulations, the prohibition of bib transfer, and may potentially, in the event of an accident, be held liable. Running without a bib is strictly prohibited, and any violators may potentially be held responsible. The organization cannot be held responsible in case of accidents suffered or caused by this third party. Bibs and race bags will be available for collection a few days before the events. Registered participants will receive an email and be notified via social media of the date and location for collection (likely at one of our partner locations). No bib collection will be available on the day of the race. Bib assignments are final. Wearing the bib is mandatory for all participants throughout the event. It must not be folded and must be placed in a visible manner, with organization sponsors and number clearly visible on the chest, under penalty of warning or disqualification. An electronic chip is attached to the bib for timing purposes. This chip must not be removed or tampered with for fraudulent purposes. Athletes with medical restrictions regarding wearing this type of chip must inform the Organizing Committee immediately.

Article 18: Personal Baggage Deposit

A "personal baggage" tent will be available for runners wishing to deposit their belongings. Bags must be labeled with their bib number. The organizing committee disclaims any responsibility in case of loss or theft. Parking spaces will be provided for athletes around the site. It is important to adhere to this (no parking along the road) to avoid penalties.

Article 19: Timing

Timing is conducted electronically by a provider engaged by the organizing committee or manually under the supervision of the FAPF chief referee. For the "NIGHT OF TRAILS" and "ITI TRAIL" events, runners will be provided with individual GPS tags, allowing tracking of their progress to ensure that the official route has been completed.

Article 20: Results

Official results are communicated by the organizing committee after validation by the FAPF chief referee, no later than three hours after the end of the race. They will be displayed in the village and on the website www.xterratahiti.com.

Article 21: Podiums and Prize Giving

In agreement with the FAPF, the organizing committee establishes the following podiums:

  • The top 5 men and women in the following events will receive a Trophy and "surprise" prizes:

    • 100K

    • 75K

    • 50K

    • 25K

    • 12K

  • The top 3 "youth" participants in the 3K and 1K races will also receive Trophies.

  • The top 5 men and women in the 100K may receive prize money:

    • Winners (male and female): 50,000 F

    • 2nd place: 35,000 F

    • 3rd place: 25,000 F

    • 4th place: 15,000 F

    • 5th place: 10,000 F

Winners are expected to be present at the prize-giving ceremonies:

  • Saturday, May 25 at 6:30 pm for the "FUN TRAIL" 3K and "TAMARII TRAIL" 1K;

  • Saturday, May 25 at 7:00 pm for the XTERRA TAHITI "NIGHT OF TRAILS" (ULTRA TRAIL OF 100 KM, 75 KM, 50 KM, 25 KM)

  • Sunday, May 26 starting at 12:00 pm for the XTERRA TAHITI "ITI TRAIL" 12KM.

In case of absence or delay, non-cash rewards will be donated to participating associations.

Article 22 - Civil Liability

The organizing committee has taken out insurance covering the pecuniary consequences of its civil liability, that of its volunteers, and all participants in the Moorea Marathon 2024. Regarding the civil liability of participants, the intervention of this insurance for them is limited to accidents they could cause during the sporting event. This coverage will intervene in addition to or in the absence of other insurances that participants may benefit from.

The organizing committee declines any responsibility in case of theft, loss, breakage... suffered by the personal belongings of the participants even if it is in their custody. Participants cannot therefore hold the organizer responsible for any damage caused to their equipment. Taking out insurance to cover these risks is the responsibility of each individual.

Article 24: Complaints In the event of a complaint, it must be handwritten and addressed to the chief arbiter along with a fee of 5,000 FCP within a maximum of thirty minutes after the official results are announced. If the complaint is found to be inadmissible, the 5,000 FCP will be retained by the organizing committee.

Article 25: Appeals Jury In case of a complaint, an appeals jury convenes to review and render an opinion on it. This jury consists of 4 individuals: the President of the Association, the Race Director, the Chief Arbiter, and the Judge involved in the grounds of the complaint.

Article 26: Acceptance of Regulations By registering for "LA NUIT DES TRAILS" and the 3 other events, each participant agrees to abide by the race regulations. The participant solemnly undertakes not to anticipate the start and to cover the entire distance before crossing the finish line. Failure to comply may result in disqualification.

Article 23: First Aid

The provision of first aid is ensured by the Polynesian Federation of Civil Protection, in accordance with the agreement signed with the organizing committee. At least one doctor will be present alongside the P.F.C.P.

Article 24: Complaints

In the event of a complaint, it must be handwritten and addressed to the chief arbiter along with a fee of 5,000 FCP within a maximum of thirty minutes after the official results are announced. If the complaint is found to be inadmissible, the 5,000 FCP will be retained by the organizing committee.

Article 27: Electronic Mailing List Subscription

Registration for the XTERRA TRAIL 2024 events implies mandatory subscription to the distribution lists of the VSOP XO association.

Article 28: Right to Image

By registering, the participant consents to the VSOP XO club using images in which they may be identified for promotional and advertising purposes without time limit. The purpose is to promote the event and the club through external, commercial, and advertising communications, on the Internet, social networks, or traditional media. In accordance with the "Information and Liberties" law of January 6, 1978, as amended, and, where expressly referred to, the General Data Protection Regulation of April 27, 2016, you have the right to access, rectify, or delete information concerning you, the right to data portability, the right to limit processing concerning you, and the right, for legitimate reasons, to object to your data being processed. You can, for example, limit the media on which images can be broadcast. You can withdraw your consent at any time. Audiovisual professionals must obtain accreditation from the organizers. No image or video footage may be marketed to private partners or television channels of any kind without the consent of the VSOP XO club.

Article 29: Copyright Ownership

The characteristics of the race, the courses, the refreshment points, and the organization are the intellectual property of the VSOP XO Club. The Naming and the XTERRA logo are the property of XTERRA Planet. No reproduction or use may be made without the express consent of the owning entities.
